Responsibilities Supervisory Responsibilities The Administrative Support Supervisor considered an office manager with responsibility for planning, coordinating and implementing office support functions for the Finance Department.
This position contributes to the overall management of the assigned department by participating in the development of policies and procedures, coordinating with internal and external parties to improve delivery of service, providing guidance on all facets of customer communications.
In addition, this is position is considered a working supervisor that provides a variety of complex, responsible, and confidential secretarial and administrative support to the department and Director of a department.
Team building, leadership and training opportunities for the Finance Department team members.
Supervises and schedules staff.
Employee evaluations.
Front Desk Provide training and support to cashiers Provide backup support as needed Supervision Daily Deposit:
Preparation and reports Payroll:
Review and approve timecards Prepare ACH file Update the General Ledger Reports Accounts Payable Support:
Works with Accounts Payable I/Accounts Payable II to ensure accuracy of GL Accounts and payments Reviews Payment Approval Report for accuracy and proper approval for invoices, instructs and assists Accounts Payable in making corrections Train and supervise Accounts Payable I/Accounts Payable II position Updates GL and AP reports Year end reporting Purchase Orders Review invoices and ensure a PO is created when needed Assists and supports Department Heads and Accounts Payable in the creation of PO as needed Finance Director Support:
Assists Department Heads with various reports and questions regarding expense accounts and invoice research Assists with yearly budget Provides assistance to volunteers and other departments pertaining to POs, vendor payments, and credit card usage Assist in balancing and maintaining reports Documents and updates Separation of Duties, Accounting, and Justice Court Guidelines as necessary.
Prepares and Submit 1099's Other duties as assigned City Treasurer Support:
Tracks bank balance Assists in verifying changes Balance benefit accounts Other duties as assigned Required Skills/Abilities:
Must be proficient in computer skills.
Excellent customer service.
Effective verbal and written communication skills.
Excellent organizational skills and attention to detail.
Qualification and
Experience:
Bachelor degree in Accounting or Finance preferred.
Three to five years of management and leadership experience required.
Physical Requirements:
Prolonged periods of sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at times.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
